What does a good board meeting look like? Here’s a guide with some of the most common signs that your latest meeting was successful. Many people think that good board meetings happen organically when the “stars are aligned”. Nope. Good board meetings result from hard work and qualified individuals, often done behind the scenes, ensuring that they're productive when the best minds get together in the name of good governance. This guide will run through the main signals that a board meeting has gone well. If you see them in your own organisation, well done! If not, don’t fret. You can change that. What does a good board meeting look like? It’s organised An agenda is always set and sent to directors ahead of the meeting. The meeting room is equipped with and ready for use. Enough time has been scheduled to give full attention to each agenda item. The meeting has thorough and specific goals. Minutes are taken in detail. These things might seem mundane, but they’re crucial for setting a tone of high standards. Directors who see these things done consistently at meetings will know they’re in a productive environment. It provides continuity Good meetings will have time set aside for analysing the minutes and other outcomes of the previous meeting so that everyone can check on progress and maintain continuity. Missing this step means turning board meetings from parts of a progression chain into standalone think tanks, producing ideas that might never go anywhere. Everyone has done their homework All directors know items for discussion and will have something to say about them. Ideally, they’ll have help in the form of board packs - information dossiers distributed before a meeting detailing agenda items and relevant background information. A director’s job is to read that information and decide what they think, always using their expertise. It talks numbers A board’s key role is to develop and oversee the implementation of company strategy, but it can’t do that properly without solid reporting. As a result, good board meets will analyse progress by quantifying success, using their expertise to read between the lines where necessary. Where are the risks? Where are the opportunities? How do they relate to the company’s progress at this point? These questions are critical. It strikes a balance This can be the most challenging task, but good board meetings will approach all agenda items with a careful balance that incorporates both dangers and opportunities. The meeting will encourage new ideas while acknowledging the risk of pursuing them. It will target growth but will consider environmental, social and governance ramifications. It will comply with legal requirements but not reduce itself to a box-ticking body. This balance is hard to get right in an evolving world of corporate regulation and stakeholder expectations. However, it is what will separate good meetings from bad ones.
